INSTRUCTIONS RELATING TO MANAGEMENT OF

TRAINING RECORD

Training Record shall include following.

  1. Folder containing nomination letters/application forms received from Various departments/institutions/organizations and bio-data forms and attendance sheet of the participants/trainees.
  2. Folder containing (a) Copy of the training circular, confirmatory copy of it having been sent by e-mail/fax. (b) Training module, (c) Copy of the letter sent/e-mailed to the Guest faculty, (d) Bio-data of the guest faculty. (e) Counterfoil of the payment receipt to the faculty.
  3. Feedback form from the trainees and gist of the feedback. Copy of the letter sent/e-mailed to the faculty/departments. This folder shall also contain note-sheet with suggestion for further improvement in the course design, if any required.
  4. All the above folders shall be linked so as to form one bundle relating to a particular course. In case the course is repeated, similar bundle shall be formed.
  5. Each bundle shall be given unique file number. The file number shall refer to course topic in abbreviated form, group of courses of which the particular course formed a part, training year and roman numeral to indicate the repetition of the course in particular training year. -
  6. Training record shall also mean digitized photographs of the trainings.
    These photographs may be kept either in the computer hard disk with appropriate identification details or as hard copies in photo albums to be maintained by each Assistant Director (Training). In addition, audio-video recordings of any of the course shall also be the part of the training record. These shall be kept separately.
  7. All records which relate to approved packaged courses, training policy,
  8. remuneration policy, training calendar and other training relating issues shall also be called training record. However, such record being common to all training programmes shall be kept with the Assistant Director (Training) in-charge of the training policy matters.
